Job Purpose:

The Accounts Receivable job is focused on overseeing all accounts receivable job duties at the Kalamazoo Country Club.

 

What You’ll Be Doing

 

  • Manage the billing, statements, and invoicing process for member statements, outside events, member sponsored events, golf outings, banquets, and weddings.
  • Closes out all Food & Beverage Point of Sale End of Day Reports and posts to the general ledger.
  • Reviews and uploads Golf Point of Sale / Tee Sheet Reports and uploads into accounting software.
  • Works with Sr Accountant ensuring billing is sent out in an accurate and timely manner.
  • Works with Sr Accountant on ad hoc member and sales reporting.  
  • Receive cash/check payments, enters into accounting software.
  • Works with Membership Director to input member data into club management system, sets up fee billing schedule, installment billing schedule, and quarterly minimum schedule, etc.
  • Record daily revenue categories for F&B and Golf departments.
  • Works with our Director of Catering and Events to close out all completed events in our banquet software and pull into our accounting software system.
  • Support external and internal requests related to accounts receivable.
  • Supports/cross-trained in accounts payable.
  • Assist in refining billing and AR processes and procedures with a focus on continuous improvement.
  • Manages AR Aging reporting, and communication on past due accounts, works with Sr Accountant on suspensions and collections.
  • Manages installment billing programs.
  • Manages quarterly food and beverage programs.
  • Maintains strong relationships with F&B, Golf, Grounds, Racquets, Childcare, Aquatics, and Admin departments to ensure needs are understood and met.
  • Communicates directly with members with regards to billing, member payments, charges on statements and more.
  • Collects and manages all member bank account and credit card data for secure storage and processing.
  • Credit card processing for member statements/balances.
  • This position will be officing out of the Kalamazoo Country Club

Qualifications

What You Need for this Position

  • You have strong attention to detail and accuracy, commitment to customer service
  • You have excellent analytical and problem-solving skills, are very organized and detail-oriented, thrive on process improvement
  • Ability to manage and meet deadlines
  • Ability to multi-task and work together as an integral part of the team
  • Strong communication skills, both written and verbal
  • Proficient in Microsoft Excel, Word, PowerPoint and Google Suite; experience with Jonas software system a plus
  • Emphasis on confidentiality
  • Customer service skills
  • Able to lift 25lbs. occasionally
